Policy

DOI & Metadata Policy

SIARE (Society of Integrated Academic Research and Education), through AcademicProceeding.org, ensures that all published scholarly content is assigned persistent identifiers and structured metadata to support discoverability, citation, indexing, and long-term accessibility.

This policy outlines how Digital Object Identifiers (DOIs) are assigned, managed, and maintained, along with standards for metadata quality, accuracy, and dissemination.

Applicable to all SIARE proceedings and published articles

Persistent Identification

All articles receive DOIs for permanent access and citation.

Structured Metadata

Rich metadata ensures discoverability and indexing.

Global Integration

Metadata is shared with indexing and discovery systems.

Data Integrity

Metadata accuracy and consistency are strictly maintained.

1. DOI Assignment

All accepted and published articles in SIARE proceedings are assigned a Digital Object Identifier (DOI) to ensure persistent and reliable access.

  • DOIs are assigned at the time of publication
  • Each DOI is unique and permanently linked to the article
  • DOIs resolve to the official Version of Record
DOIs provide a stable, citable link that remains valid even if URLs change.

2. DOI Registration and Maintenance

SIARE registers DOIs through recognized registration agencies and ensures their long-term maintenance.

  • DOIs are registered with complete metadata records
  • Links are monitored and updated if required
  • Persistent access is maintained over time

3. Metadata Standards

SIARE maintains high-quality, structured metadata for all published content to support indexing, discovery, and interoperability.

  • Article title, abstract, and keywords
  • Author names, affiliations, and ORCID identifiers
  • Publication dates and version information
  • Funding, acknowledgments, and declarations
  • References and citation metadata
Metadata is structured to align with international publishing and indexing standards.

4. Author Responsibility for Metadata

Authors are responsible for ensuring the accuracy and completeness of submitted metadata.

  • Correct spelling of author names and affiliations
  • Accurate ORCID identifiers where available
  • Complete funding and disclosure information
  • Proper citation and reference formatting

Errors in metadata may affect indexing, discoverability, and citation tracking.

5. Metadata Quality Control

SIARE applies editorial and technical checks to ensure metadata quality.

  • Validation of author and affiliation data
  • Consistency checks between manuscript and metadata
  • Verification of references and identifiers
  • Formatting according to publishing standards

6. Metadata Dissemination

Published metadata is shared with indexing services, repositories, and discovery platforms to enhance visibility.

  • Integration with DOI registration systems
  • Availability for search engines and indexing databases
  • Support for citation tracking and analytics

7. Updates and Corrections

Metadata may be updated when necessary to correct errors or reflect post-publication changes.

  • Corrections are applied transparently
  • DOI records are updated accordingly
  • Major changes follow correction or retraction policies

8. Version of Record

The DOI always resolves to the official Version of Record, which represents the final, approved, and published version of the article.

  • Ensures consistency in citation and referencing
  • Supports long-term scholarly record integrity

9. Interoperability and Standards

SIARE metadata is structured to support interoperability with global scholarly systems.

  • Compatible with indexing and abstracting services
  • Supports machine-readable formats
  • Aligned with digital publishing standards
