Indexing & Archiving Policy

SIARE (Society of Integrated Academic Research and Education), through AcademicProceeding.org, is committed to improving the discoverability, accessibility, preservation, and long-term scholarly value of published proceedings content.

This policy explains how SIARE supports indexing readiness, metadata exposure, platform discoverability, and digital archiving of published proceedings papers, while maintaining accuracy, continuity, and integrity of the scholarly record.

Applicable to all SIARE proceedings and published articles

Indexing Readiness

Content is prepared with structured metadata to support discovery and evaluation by indexing systems.

Metadata Exposure

Article records are organized to improve retrieval, harvesting, and scholarly visibility.

Archiving Support

Published content is maintained through platform and preservation-oriented workflows.

Record Continuity

Long-term access depends on stable records, identifiers, and preservation practices.

1. Purpose of Indexing and Archiving

SIARE publishes conference-based scholarly work with the objective of making research outputs discoverable, citable, accessible, and preserved for continued academic use. Indexing and archiving are important parts of responsible scholarly publishing because they improve visibility, support retrieval, strengthen citation continuity, and help preserve the scholarly record over time.

2. Scope of this Policy

This policy applies to all proceedings content published through AcademicProceeding.org under the SIARE publication model. It covers article-level metadata, platform-level discoverability, indexing readiness, digital preservation considerations, and long-term access to the published Version of Record.

This policy describes SIARE’s indexing and archiving framework. Inclusion in any external indexing or abstracting service remains subject to the independent review, criteria, and acceptance policies of that service.

3. Indexing Readiness

SIARE prepares published content in a form intended to support discovery, citation, and evaluation by indexing and abstracting systems. Indexing readiness depends on the quality, consistency, and completeness of publication records.

  • Clear article titles, abstracts, and keywords
  • Accurate author names, affiliations, and identifiers where available
  • Proceedings and series information
  • DOI assignment and stable article records
  • Structured references and bibliographic details

4. Metadata Exposure and Discoverability

Published article metadata is maintained in a structured form to support retrieval through search engines, library services, scholarly platforms, metadata harvesters, and indexing workflows. Metadata consistency improves discoverability and reduces ambiguity in article identification.

  • Article title, abstract, and keywords are published with the record
  • Author and affiliation information is preserved in the article metadata
  • Publication details are aligned with the Version of Record
  • Persistent identifiers are used where applicable

5. DOI and Record Stability

SIARE assigns DOIs to accepted and published articles to support stable linking, article identification, and citation continuity. DOI-linked records strengthen the persistence and reliability of the published scholarly record.

  • Each published article receives a unique DOI
  • The DOI resolves to the official article record
  • Citation continuity is supported through persistent identifiers

6. Platform-Level Access and Digital Library Presence

SIARE articles are published on AcademicProceeding.org and are organized within the broader SIARE digital publication environment. This structure supports article access, proceedings-level browsing, and subject-based visibility across publication series.

  • Article pages provide the published Version of Record
  • Proceedings organization supports event and theme-level navigation
  • Series-level publication structure supports subject alignment
  • Published records contribute to the SIARE Digital Library framework

7. Archiving Principles

SIARE supports the long-term preservation of published content through platform-level archiving practices, record maintenance, and preservation-oriented workflows. The objective of archiving is to maintain continuing access to the scholarly record and reduce the risk of loss or disruption over time.

  • Preserve the official published record
  • Maintain access continuity where possible
  • Support long-term record integrity
  • Retain stable bibliographic and metadata structures

8. Preservation Mechanisms

SIARE may support digital preservation through platform-compatible preservation services, repository workflows, backups, or preservation network arrangements, depending on the technical environment in use at the time of publication.

  • Platform-level preservation and backup workflows
  • Support for preservation-oriented publishing infrastructure
  • Archiving measures designed to protect the Version of Record
  • Preservation options may vary according to platform configuration
Where preservation services or preservation-network integrations are enabled, they are intended to support long-term access and continuity of published content.

9. Version of Record and Archival Integrity

The published Version of Record is the authoritative version for citation, access, and archival reference. Archiving practices are designed to preserve the integrity of this version and minimize confusion created by unofficial, incomplete, or superseded copies.

  • The Version of Record remains the authoritative published article
  • Post-publication updates are managed through formal editorial policies
  • Archival continuity should preserve bibliographic stability

10. Author Responsibilities

Authors contribute to indexing and archiving effectiveness by ensuring that submitted information is complete, accurate, and publication-ready.

  • Confirm author names and affiliations carefully
  • Review titles, abstracts, and keywords for accuracy
  • Ensure references and citation details are complete
  • Provide declarations and metadata required for publication records
  • Review proofs carefully before publication

11. Metadata Quality Control

SIARE applies editorial and technical checks to improve metadata quality before and after publication where necessary. Accurate metadata strengthens discoverability, reduces citation errors, and supports interoperability with scholarly systems.

  • Consistency checks between article files and metadata
  • Validation of author and publication details
  • Verification of identifiers and bibliographic information
  • Correction of metadata errors where identified

12. Limits of Indexing and Archiving Representation

SIARE does not guarantee acceptance by any particular indexing, abstracting, or archiving service solely by publishing an article. External services make independent decisions according to their own criteria, workflows, and technical requirements.

  • Publication does not automatically imply inclusion in every database
  • Indexing outcomes depend on third-party review and eligibility policies
  • Archival and preservation arrangements may depend on the technical environment in use

13. Corrections, Updates, and Record Maintenance

Where publication records or metadata require correction after publication, SIARE applies updates in accordance with its post-publication policies. Record maintenance supports citation continuity, metadata integrity, and long-term discoverability.
